Once on-site, Outsources provides logistical assistance to make sure your meeting is progressing as planned. We coordinate and troubleshoot so you are can monitor VIPs and the meeting’s overall proceeding.  Logistical support includes . . .

  • Set up an on-site office to facilitate communications between attendees, speakers and other last-minute activities.  This office also gives the staff a place to meet and troubleshoot.
     
  • Monitor the setup and staff of the convention registration desk; expedite the registration process.
     
  • Handle ground transportation and information requests.
     
  • Be prepared to meet, greet and direct any VIPs or speakers upon arrival, escorting each to the speaker-ready room or individually assigned meeting room.
     
  • Supervise all on-site activities and provide the overall management of any logistical concerns.
     
  • Check and inspect all meeting facilities, making sure they are properly set up one hour prior to scheduled times. Ensure that all support services are coordinated and efficiently provided.
     
  • Troubleshoot any potential problems or last-minute additions for a flawless meeting your staff may participate in. Attend pre-convention meeting with all hotel staff members; meet with all service providers on-site.
